Volunteer Manager Job Description
Gem City Kitties is hiring a Volunteer Manager to create and implement a volunteer program to help us grow and stabilize our nonprofit programs in the Dayton area, including our new extension, Gem City Vet.
Gem City Vet is a nonprofit veterinary clinic in Trotwood offering low-cost wellness services to pets in low-income families. The Volunteer Manager will report to the Executive Director and work closely with the Gem City Catfe and Gem City Kitties staff.
We’re looking for someone who enjoys building programs, working collaboratively with a team, and advocating for animals in our community.
Schedule + Pay:
$16-$23/hour depending on experience. This position is part-time, non-exempt. We are looking to build this program incrementally and scale slowly and steadily, starting between 10-15 hours per week. An 8:30am - 6:30pm Sunday shift at Gem City Vet is required as a customer service team member to build an understanding of our programs. We are open to changing this in the future as programs grow and organizational needs change.
Outside of the set Sunday schedule, some weekday time must be available for meetings and set hours on site, but we are open to working with candidates to set a work schedule that fits your needs and the needs of Gem City Kitties. A work laptop and Google Voice number or work cell phone will be provided.
Tasks & responsibilities:
Develop and lead continuous processes to effectively recruit, train, and retain volunteers.
Attend GCK Board meetings quarterly and give updates on benchmarks
Maintain records and data to track performance measurements and support strategic decision-making
Facilitate orientations, presentations, meetings, and trainings.
Respond to volunteer inquiries. Onboard potential volunteers.
Monitor the performance and wellbeing of volunteers. Proactively engage in timely and respectful conversations to address concerns, provide feedback, and support growth.
Engage staff to identify organizational needs and develop volunteer roles and procedures.
Implement targeted marketing and volunteer recruitment strategies that encourage broad participation and ensure equal opportunity for all applicants.
Coordinate volunteer recognition initiatives and events. Maintain an active recognition plan.
Compose and distribute regularly scheduled volunteer communications.
Develop and update volunteer position descriptions and training materials ensuring effectiveness and inclusivity.
Accurately maintain all volunteer files, documents, and database records.
Prepare monthly statistics of volunteer service hours and other performance metrics.
Foster collaboration with local animal welfare organizations, schools, and community groups.
Ensure workplace safety for volunteers by identifying risks, implementing guidelines, and following all safety protocols and procedures.
Work with GCK and Gem City Catfe employees to maintain positive and collaborative volunteer-staff relationships.
Exercises direct supervision over volunteers.
Perform other related duties and responsibilities as required.
REQUIREMENTS:
At least 3 years prior experience with the direct supervision of employees or volunteers
Prior public speaking or group facilitation experience, and an enjoyment of and comfort level with speaking in front of large groups
Must have deep concern and empathy for animals
Must be able to pass a background check
May require interactions with rescue animals, subject to exposure of animal bites and scratches
Bending, reaching, squatting, kneeling, lifting 20 lb items, and use of stairs required while performing job function
Exposure to cleaning agents, allergens, and zoonotic disease
Proficiency in G-Suite – specifically Gmail, Google Drive, Google Docs, Google Sheets
QUALIFICATIONS:
Must be highly organized and able to use consistent systems to maintain order.
Exceptional work ethic with excellent interpersonal and planning skills. Ability to exercise independent judgment as appropriate and to work independently with little direct supervision.
Manages time efficiently and prioritizes work extremely well. Able to meet deadlines with high quality work.
Demonstrates exemplary communication skills, including writing and editing skills and the ability to express thoughts orally in a clear manner. Will be required to communicate effectively with the public, business owners, Gem City Catfé staff, and vendors. Must be able to work with various personalities, ethnicities, social and age groups, and maintain tact and professionalism at all times.
Ability to handle confidential and sensitive information.
